We are the data controller for the personal information we collect through this website and our services. This means we decide how and why your data is processed, and we are responsible for looking after it properly.
2. What Data We Collect
We keep data collection to a minimum. We only ask for information we genuinely need to respond to your enquiry or deliver our services.
Information you give us directly
When you fill in our contact form, we collect:
- Your name
- Phone number
- Email address
- Which service you are interested in (if you select one)
If you contact us by email or phone outside the website, we may also keep records of that correspondence.
Information collected automatically
When you visit our website, certain technical data may be collected automatically, including:
- Your IP address
- Browser type and version
- Pages you visit and how long you spend on them
- The website that referred you to us
- Your device type and screen resolution
This data is used in aggregate to understand how people use our website and to improve it. We do not use this data to identify individual visitors.
3. How We Use Your Data
We use the information you provide for the following purposes:
- Responding to your enquiry -- when you submit the contact form, we use your details to get back to you, usually by phone or email, within one working day.
- Providing a quote -- if you ask us about a specific service, we use your details to put together a tailored proposal.
- Delivering our services -- if you become a client, we use your contact details to manage the relationship, schedule site visits, and keep you informed.
- Improving our website -- we use anonymised analytics data to understand which pages are useful and where we can do better.
We do not send marketing emails unless you have specifically asked us to. We do not sell, rent, or share your personal data with third parties for their own marketing purposes.
4. Legal Basis for Processing
Under UK GDPR, we need a lawful basis to process your personal data. The bases we rely on are:
- Consent -- when you submit our contact form, you are actively choosing to share your details with us so we can respond. You can withdraw this consent at any time by emailing us.
- Legitimate interest -- we have a legitimate business interest in responding to enquiries, delivering our services, and improving our website. We always balance this against your rights and will not process data in ways you would not reasonably expect.
- Contractual necessity -- if you become a client, processing your data is necessary to fulfil the contract between us.
5. Third-Party Processors
We use a small number of third-party services to run this website. Each one only processes data as necessary and is bound by their own privacy policies:
- Web3Forms -- handles the submission of our contact form. When you submit the form, your name, email, phone number, and service selection are sent through Web3Forms to our inbox. Web3Forms does not store your data beyond delivery. Web3Forms privacy policy.
- Cloudflare -- provides hosting, content delivery, and security for our website. Cloudflare may process your IP address and technical data as part of delivering the site to your browser. Cloudflare privacy policy.
- Google Fonts -- we load typefaces from Google's font service. When our pages load, your browser connects to Google's servers, which may log your IP address. Google privacy policy.
We do not use any other third-party analytics, advertising, or tracking tools on this website.
6. Data Retention
We do not keep your data longer than we need to.
- Contact form submissions -- if your enquiry does not lead to a business relationship, we delete your details within 12 months of our last contact with you.
- Client data -- if you become a client, we keep your data for the duration of our working relationship and for up to 6 years afterwards to comply with legal and accounting obligations.
- Website analytics -- any anonymised usage data is retained for up to 26 months.
7. Your Rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Right of access -- you can ask us for a copy of the personal data we hold about you.
- Right to rectification -- if any of your data is inaccurate or incomplete, you can ask us to correct it.
- Right to erasure -- you can ask us to delete your personal data. We will do so unless we have a legal reason to keep it.
- Right to restrict processing -- you can ask us to limit how we use your data in certain circumstances.
- Right to data portability -- you can ask us to provide your data in a structured, commonly used format so you can transfer it to another provider.
- Right to object -- you can object to our processing of your data where we rely on legitimate interest as our legal basis.
To exercise any of these rights, email us at hello@beyondproperty.co.uk. We will respond within one month.
If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).
8. Cookies
This website uses minimal cookies. We do not use advertising or social media tracking cookies.
The cookies that may be set include:
- Essential cookies -- set by our hosting provider (Cloudflare) for security and performance purposes. These are necessary for the website to function and cannot be turned off.
Because we only use strictly necessary cookies, we do not show a cookie consent banner. Under UK GDPR and the Privacy and Electronic Communications Regulations (PECR), consent is not required for cookies that are essential to providing the service you have requested.
9. Data Security
We take reasonable steps to protect your personal data from unauthorised access, loss, or misuse. Our website is served over HTTPS, which encrypts data in transit between your browser and our servers. Access to any personal data we hold is restricted to authorised personnel only.
No method of transmission over the internet is completely secure, but we work to maintain safeguards that are appropriate to the sensitivity of the data we process.
10. Links to Other Websites
Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. We encourage you to read the privacy policy of any website you visit.
11. Changes to This Policy
We may update this privacy policy from time to time to reflect changes in our practices or for legal reasons. When we make changes, we will update the date at the bottom of this page. We encourage you to review this policy periodically.
